Attendance monitoring process

At the ÌìÃÀ´«Ã½, we use a simple, digital way to record attendance that’s designed to support students and fit naturally into your learning experience.

Attendance is recorded using a QR code linked to the university timetabling system. In each class, your lecturer will display a session‑specific QR code, which you can scan using your mobile device. Once scanned, your attendance is recorded securely and in real time.

This system helps to:

  • Make attendance recording quick and reliable
  • Give real‑time visibility to both students and staff
  • Ensure attendance information is accurate, so support can be offered early if needed
  • Provide a smooth, modern check‑in process that fits with today’s digital learning environment

Your responsibilities

Students are expected to engage honestly and appropriately with the ÌìÃÀ´«Ã½â€™s attendance and engagement monitoring systems.

Any action intended to misrepresent attendance or engagement, or to circumvent attendance monitoring processes - whether for yourself or on behalf of another student - may be treated as a breach of the student conduct policy and will be investigated accordingly.

  • An active data connection is required to scan the Attendance QR code.
  • This can be mobile data (4G or 5G) or the university Wi‑Fi (eduroam). A live connection allows Timetabler and the QR code system to communicate with university servers in real time to record attendance correctly.
  • If your mobile network does not provide coverage on campus, please refer to the ICT eduroam webpages for guidance.
  • If you are still unable to connect, contact the Student Information Desk (SiD) for support.

  • Before scanning an Attendance QR code, log into on your laptop or mobile browser to ensure your account is active.
  • When logging into Timetabler, you should see a screen that asks only for a username.

  • Multi‑Factor Authentication (MFA) adds an extra layer of security by requiring more than just a password to sign in.
  • °Õ³ó±ðÌýpreferred method is the Microsoft Authenticator app with notification, as it is the simplest and least disruptive once set up.When using Microsoft Authenticator, each sign‑in attempt sends a notification to your phone, which you approve if the sign‑in is genuine.

  • Please arrive on time and allow enough time to scan the Attendance QR code.
  • Scanning promptly helps avoid disrupting the session and ensures you do not miss important information at the start.
  • Aim to scan the QR code with at least 10 seconds remaining on the countdown timer to allow time for the scan to process successfully.

  • If you are unable to scan the QR code within the first 60 seconds, it may have expired.
  • In this situation, please politely ask the lecturer to refresh the QR code on their screen.
  • Refreshing the screen will display an up‑to‑date QR code, allowing students to scan successfully.

The ÌìÃÀ´«Ã½ uses a QR‑based attendance monitoring system to record attendance at scheduled teaching sessions, linked to the timetabling system.

Scanning the QR code confirms that you have attended the session. Attendance records help the ÌìÃÀ´«Ã½ support students’ academic progress and wellbeing and meet external requirements, such as those set by the Student Loans Company or UK Visas and Immigration (UKVI).


You should scan the QR code during the timetabled session, using the code provided by your lecturer or tutor. Codes are usually available for a limited time during the class.

The ÌìÃÀ´«Ã½ takes attendance monitoring seriously. Deliberately trying to bypass the process like sharing the attendance QR codes could lead to disciplinary action under our Student Code of Conduct policy.


If you attend a class but forget to scan the QR code, you should contact your lecturer or the Student Attendance Monitoring Team as soon as possible to explain the situation.

Lecturing staff are also able to review and amend attendance records where required.

Repeated failure to record attendance may raise concerns, even if you are attending, so it’s important to scan the code each time.

If a scheduled teaching session is cancelled, this will not negatively affect your attendance.

The academic member of staff responsible will notify the Timetabling Team, and the cancellation will be recorded in the ÌìÃÀ´«Ã½ timetabling system. Students will be informed accordingly, so you do not need to take any further action.

If a session moves to a different room rather than being cancelled, this information will be updated in the timetabling system and communicated to students in advance of the session.


Students studying on a Student visa have additional attendance requirements set by UKVI. Regular attendance is a condition of visa sponsorship, and the ÌìÃÀ´«Ã½ is required to monitor and report engagement.

If you cannot attend a class due to illness or other unforeseen circumstances, you must notify the ÌìÃÀ´«Ã½ by emailing [email protected] and your tutor to explain your absence.Your tutors will be able to advise you on how you can catch-up on what you have missed.

You should ensure that you are registered with a GP at the start of your course.

If your illness may affect an assignment, you must contact your faculty and seek advice from [email protected]

If attendance issues are ongoing, you are encouraged to seek advice and support early.


Attendance reminders are sent by the Student Attendance Tracking Team to notify you that, according to our records, you have not met your attendance requirements as per the university attendance policies. 

If you receive an attendance reminder, please take the following steps:

  • Check your attendance records
    Review your attendance data [PDF] to ensure it reflects your engagement accurately.

  • Contact your lecturers
    If you believe your attendance has not been recorded correctly, please contact the relevant lecturer(s) to confirm whether your attendance was captured during the session.

  • If you scanned the QR code
    If you were present and attempted to scan the attendance QR code, please email the Student Attendance Tracking Team at [email protected] with details of the session. The team will follow up with the lecturer(s) to confirm your engagement.

  • Extenuating circumstances
    If you have extenuating or mitigating circumstances that have affected your attendance, please contact [email protected].The team can refer you to the appropriate support services as needed.

  • Re‑engage with your studies
    After receiving an attendance reminder, it is important that you re‑engage with your scheduled teaching and learning activities to help close any absence records.
